Sub-organisations

By default, when a user receives editing rights, they can edit all of their organisation’s resources in the tool. In other words, the Terminologies tool enables the user to edit all of their organisation's terminologies. However, the access rights granted for the Terminologies tool cannot be used to modify datamodels or codelists. Instead, the rights must be granted separately for each tool.

This may be difficult in large organisations, if you do not want to give all users access rights for all contents. The Interoperability Platform therefore enables the creation of separate suborganisations that are used to grant users more limited access rights. When a user is linked to a suborganisation, they can edit only the contents of this sub-organisation. In other words, it is just a way of restricting access rights.

The access rights management service, i.e. group management service enables the main user to add any number of suborganisations (child organizations) to the organisation. Users are linked and a suborganisation modified in the same way as in a normal organisation. As an exception, the main user is automatically inherited from the main organisation. The users of the main organisation also have access rights for the content produced by the suborganisation.

Suborganisations (child organizations) are not visible on the public side of the tools’ user interfaces. Instead, the suborganisation’s content is displayed as the main organisation’s content. The suborganisation is also not added to search filters.

Please note the following:

  • In codelists, the suborganisation must be granted access rights for the register of the main organisation to which the suborganisation’s codelist is to be added (the connection to the register will not be transferred automatically)
  • Both the main and the suborganisation cannot simultaneously be added as contributors in datamodels and terminologies (if a suborganisation is added, the main organisation is automatically added in the background)
  • After you have added or changed the details of suborganisations, it will take approximately half an hour for the changes to take effect throughout the tool.
