Instructions for the Reference Data tool

To be able to manage codelists, the user must have the access rights of a content editor. Before applying for access rights, the user must have the credentials for the Interoperability Platform. 

The access rights are applied for separately for each tool in the following way: 

1. Click the menu in the top bar and select User details. On the User details page, go to the drop-down menu under Send access request and select the organisation whose data you want the editing rights for. If you submit the access rights request through the Reference Data tool, you can apply for editing rights only for the Reference Data tool (role: code list editor). Access rights requests for the other tools must be sent separately through the tool concerned. 
2. The main user of the organisation accepts or rejects the request. The user receives an email informing them that the request has been accepted (or rejected). 
3. If you do not know who the main user in your organisation is, Interoperability Platform support will be able to tell you. Send an email to yhteentoimivuus@dvv.fi. 

You can select the language of the user interface from the menu in the top right corner. The languages are currently Finnish, Swedish and English. 

The language of the codelist content may be different from the language of the user interface. The language of the codelist content is selected from the top right corner of the page of the codelist. 

There is a menu in the top right corner (three lines). From the menu, the user can 

• go to their own user details (logged-in user) 
• go to the registers of Reference Data and view them.  
• go to the other tools 
  log into  / out of the tool 

When the user navigates the tool, a breadcrumb trail forms at the top of the view. It also works if you want to go backwards along the same trail. You can return to the front page of the tool by clicking the name of the tool in the top left corner. Any search criteria will then also be cleared. 

The following information is displayed in the list of codelists: 

• Name of the codelist, which you can click to access the details of the codelist 
• Description of the codelist (if the whole description text is not visible, you can display the entire text by clicking the text) 
• Domain/domains that the codelist belongs to 
• Organisation responsible for the codelist 
• Register that the codelist belongs to 
• Codelist status. 

You can search for codelists, codes and extensions on the front page of the tool. There are many ways to filter the search: 

1. Search field: Type a search term, such as forest or tax, in the search field and you will see the codelists in whose names the search term is mentioned. In other words, the search is normally focused only on the names of the codelists, not on individual codes. 
2. Extend the search to codes: If you want to search using the name/value of the code, check the box next to “Extend search to codes”. This way, the search will also focus on them. 
3. Extend the search to extensions: If you want to also search from the extensions of codelists, check the box next to “Extend search to extensions”. 
4. Filter with domain: All codelists belong to an information domain. You can filter the search results to display only the codelists of the desired domain by clicking the name of the domain. To deselect, click the same domain name again. 
5. Filter the search results with an organisation: Each codelist has a designated contributor. In this drop-down menu, you can filter the search results to display only the codelists owned and published by a specific organisation. 
6. Filter the search results with a register: A register is a logical whole consisting of codelists related to a specific context, such as the codelists of the Population Information System or education. In this drop-down menu, you can filter the search results to display only the codelists of a specific register. 
7. Filter the search results according to status: A status, such as draft, valid or superseded, has been defined for the contents of the Interoperability Platform. For example, you can search only for established, valid codelists or filter the search results to display drafts that are still being worked on. 
8. Filter the search results according to codelist type: This search filters codelists according to any extensions the list may have: cross-reference list (code map), calculation hierarchy or definition hierarchy.
