Importing concepts with files
The Terminologies tool offers two ways to update terminology data using files:
- Adding new terms to the glossary using an Excel file
- XML import, i.e. using a file in the NTRF format for Nordic terminology data.
- You can download the sample Excel below and modify it according to your own needs, or create a new Excel in which you use the column headings described in the table.

(Finnish only) - The Excel file uploaded to the tool can only contain the fields described in the table below. The last column is not functional yet; it is planned to describe, if the row in the Excel file is to be added, updated, or removed; currently, possible old information is overwritten, and deletions are not possible.
- Remove the example texts and guideline rows in the example excel.
- The languages in which material is added to the terminology must be defined. The Excel file cannot contain languages other than those defined for the terminology. If this requirement is not met, an error message will occur. If you add concepts in only one language (e.g. prefLabel_fi), then remove the columns of other language versions from the file (e.g. prefLabel_sv) before uploading the file to the Terminologies tool.
- The synonym, not recommended synonym, note, and example fields can have more information in the same Excel cell. These can be separated within the cell with a line break (alt + enter).
- Via Excel, you can add (names of) the terms (prefLabel, altLabel, notRecommendedSynonym), but not other information about the term. All other data (information in the cells) is stored in the concept. (In other words, is metadata for the concept.)
