Suomi.fi Messages to speed up the delivery of ECEC decisions

"The ecological aspect is important in all this. When we do not spend working time on mailing decisions, the costs are lower. You can focus more on real issues."

In addition to saving working time and paper, City of Tampere officials are pleased that Messages users now receive decisions much faster. The service ensures a guardian gets a decision immediately, whereas it would take several days, sometimes even a week, for the decision to arrive as a paper letter. The City of Tampere’s experiences of using Suomi.fi Messages in early childhood education and care are detailed in the article Suomi.fi Messages has significantly reduced the amount of paper mail in Tampere early childhood education and care – ‘Messages could benefit municipal organisations across the boardOpens in a new window.’.

Several uses have been found for Suomi.fi Messages in early childhood education and care. In addition to decisions on receiving a place in early childhood education and care, various municipalities use Messages to send service vouchers, requests for income reports and notifications related to children to parents. In some cases, the user can also use Messages to reply to a message sent to them or start a new discussion about such issues as changing a start date or requesting information. You can read more about the receiving messages functionality on the Receiving messages page.

Time from mailing to productive work in the wellbeing services county

"In sending letters, we have saved roughly one minute per printed and posted paper. When you send tens of thousands of letters every year, you save quite a bit like this."

In addition to saving time, according to Siun Sote, the reduction in routine tasks has had an impact on the well-being at work of its employees, as it is now also possible to work from home and there is no longer any need to stand at the printer to send appointment letters. The wellbeing services county’s experiences as a user of Suomi.fi Messages are described in the article Introducing Suomi.fi Messages eliminated routine tasks in appointments and brought major time savings to the North Karelia wellbeing services countyOpens in a new window..

The printing, enveloping and distribution service for Suomi.fi Messages always allows the message to be sent electronically, and the system distributes them either electronically or by paper mail, depending on which channel the recipient is using. If necessary, Suomi.fi Messages enables different content in an electronic message than in a paper letter, in which case a link to the e-service can be added to the electronic message and a form can be attached to paper mail. We have compiled information on the possibilities of using the posting, enveloping and distribution service under the section Sending paper mail.

Benefits of Suomi.fi Messages easy to introduce with standard software

"In early childhood education and care administration, decisions have previously been printed out, envelopes have been licked and addresses have been written by hand, but now the same process can be done through Suomi.fi Messages with just a few clicks. The personnel have adopted the service very quickly"

Suomi.fi Messages can be used for sending messages to large masses, so decisions such as those on pre-primary education, can be sent to all families at the same time to ensure equality. You can read about the use of Suomi.fi Messages by Hämeenlinna's early childhood education and care in the article Suomi.fi Messages save time, reduce manual tasks and improve customer service in HämeenlinnaOpens in a new window..

The City of Hämeenlinna has outlined that e-services must be taken into account as extensively as possible in all system projects, which means that one of the procurement criteria highlighted when inviting tenders for ECEC system suppliers was that it had to be possible to integrate the system with Suomi.fi Messages. If a case management system is procured as an outsourced service, and especially if it is not cost-effective to build your own integration from the beginning, it should be investigated whether a system deployed could be provided with built-in integration with Suomi.fi Messages. You can read more about this topic on the Standard software and Messages deployment page.

Potential recipients of electronic messages should be instructed to activate Suomi.fi Messages, which will allow all recipients the opportunity to receive decisions concerning themselves immediately. On the Communications materials page, we have compiled tips on how to use Suomi.fi Messages to support communication.

Messages sent securely and surely

The town of Karkkila wanted to streamline the sending of customer messages and reduce the working hours involved. The town found that Suomi.fi Messages is an easy-to-use and secure communication solution. It helped to clarify administrative processes and even halved the time spent on sending messages. Karkkila's experiences are described in the article Asiakastarina: Suomi.fi-viestit vähensivät Karkkilassa viestien lähettämiseen kuluvaa työaikaa jopa puolella (in Finnish)Opens in a new window..

The Suomi.fi Messages POST form functionality allows you to embed electronic forms on your own website. The form can be formatted to meet the needs of the organisation, and it is sent once the sender has used strong identification to identify themselves. End-users can also use Suomi.fi Messages to send messages to organisations and services that have allowed them to do so. An organisation can direct the messages it receives directly to its own case management system for processing. The functionalities are described on the Receiving messages page.

Suomi.fi Messages is also suitable for sending large amounts of messages

“At the moment, more than four million Finns have good digital skills and capabilities for operating electronically, but so far only 1.2 million people (the figure from 2023) have ordered Suomi.fi Messages, i.e. transferred to electronic messaging with authorities. It is a good idea to start use of electronic tax mail because it arrives quickly and securely, and in MyTax, letters and decisions are stored safely.”

Most paper mail from the Tax Administration is sent to people who handle their tax matters electronically in MyTax. The Tax Administration estimates that its costs would decrease by up to EUR 10 million per year if all its clients with digital skills started receiving electronic mail from authorities, i.e. start using Suomi.fi Messages. The prioritisation of digital official communications will see organisations sending Suomi.fi Messages reach an increasing number of users receiving digital letters. See the Priority of digital mail page for more information on the project.
