Designing the electronic message and notification

From the end user’s point of view, an electronic message sent through Suomi.fi Messages consists of the following:

  • The actual message, including the subject line of the message and the text content. 
  • Possible attachments of the message, which may be, for example, decision documents, instructions for requesting an administrative review, arrival instructions or other additional information essential to the user. 
  • A notification of a new message, sent to the end user’s email address. If the end user has started to use the Suomi.fi mobile application, the notification will also be sent as a push notification.

The contents of the message, its attachments and the notification related to it as well as how the content has been structured plays an important role in how your customers will understand the messages they receive and how easy it will be for them to manage their matters. Well-formulated messages may therefore

  • improve the user experience
  • reduce failure demand
  • ensure efficient implementation of processes in your organisation. 

It is advisable to plan carefully what you should include in the message, its notification and possible attachments and how you should do it. 

When planning and designing the contents, you should also think about the impacts that the message delivery method, electronic or paper mail, will have on the content to be sent. The content items listed above apply only to electronic messages. If the message is directed to paper mail, all content must be placed in a single PDF file. The technical preconditions that the different message delivery methods impose on the content of messages have been described on the pages Content of an electronic message and Content of a message delivered by paper mail. If you wish, you can customise your messages so that the content of messages sent to electronic mailboxes is different from those sent to paper mailing. 

To make it easier for your organisation to plan the content of electronic messages, the Digital and Population Data Services Agency has compiled instructions on this page for what a message must include and how it should be formulated. Your organisation must follow these instructions when using Suomi.fi Messages. Content examples have also been compiled on this page.
